Personal Data and Use (Privacy Policy)
Haemers Technologies takes the protection of your privacy and personal data seriously. This section explains how we collect, use, store and protect your personal data on this website, in accordance with Regulation (EU) 2016/679 (the "GDPR") and the Belgian Act of 30 July 2018.
1. Data controller
Haemers Technologies S.A., Chaussée de Vilvorde 104, 1120 Brussels, Belgium (VAT BE0432.461.632). E-mail: communication@haemers-tech.com — Phone: +32 2 219 13 42. Given the size and nature of its activities, Haemers Technologies is not required to appoint a Data Protection Officer under Article 37 GDPR; the above e-mail address is the point of contact for data protection requests.
2. Data we collect and why
| Source | Data collected | Purpose |
|---|---|---|
| Contact form | Name, phone (optional), e-mail, company (optional), subject and message | Responding to your enquiry, quote request or business contact |
| Chatbot ("Haemers Technologies Assistant") | Your e-mail address only, plus the menu options you select. The chatbot works through guided button choices and does not accept free-text messages, other than your e-mail address | Directing your request, automatically creating a lead record in our CRM, enabling our sales team to follow up |
| Quote request form ("Get a Quote") | Name, e-mail, phone (optional), company (optional), plus technical information about the site to be treated (location, contaminants, volumes, soil/groundwater characteristics, logistics, timeline) | Preparing a tailored remediation quote and creating a detailed lead record in our CRM |
| Website browsing (analytics cookies) | IP address (anonymised), pages viewed, visit duration, device and browser type | Measuring site traffic and improving the website |
No "special category" data under Article 9 GDPR is collected via this site. We do not sell, trade, or rent your personal information to others.
3. Legal basis
We process your data based on: steps taken at your request prior to entering into a contract (contact and quote forms), our legitimate interest in following up commercial enquiries and creating CRM lead records, and your consent for analytics cookies (see Cookie Policy). You may object at any time to processing based on legitimate interest.
4. How long we keep your data
| Data | Retention period |
|---|---|
| Contact form / chatbot / quote request lead records | 3 years from the last contact, unless a contract is concluded |
| Customer data (active contract) | Duration of the contract, then archived per legal and accounting obligations (in principle 10 years in Belgium) |
| Analytics cookies | Maximum 13 months from placement |
5. Who receives your data
Your data is accessed by authorised Haemers Technologies staff, strictly as needed, and may be shared with processors acting on our behalf under a GDPR-compliant contract: our CRM tool (Odoo, which also runs the chatbot directly — no separate third-party chatbot provider is involved), our website hosting provider, and our analytics tools. We do not sell or rent your data to third parties; it is shared beyond the above only where required by law.
6. Your rights
You have the right to access, rectify, erase, restrict, object to, and port your data, and to withdraw consent at any time where processing relies on it. To exercise these rights, contact us at communication@haemers-tech.com or +32 2 219 13 42; we will reply within one month. You may also lodge a complaint with the Belgian Data Protection Authority (Rue de la Presse 35, 1000 Brussels — www.autoriteprotectiondonnees.be).
7. Transfers outside the EU
Your data is, in principle, hosted and processed within the European Economic Area. Should any processor transfer data outside the EEA, this would only take place on the basis of an appropriate safeguard recognised by the GDPR (an adequacy decision or Standard Contractual Clauses).
8. Cookies
We use strictly necessary cookies (no consent required), analytics cookies (consent required via the cookie banner, retained up to 13 months) and chatbot session cookies. You can manage your preferences via the cookie banner or your browser settings — see our Cookie Policy for details.
9. Security
We implement appropriate technical and organisational measures (restricted access, secure hosting, HTTPS, staff awareness) to protect your data. In the event of a data breach likely to result in a high risk to your rights, we will notify the Belgian Data Protection Authority and, where applicable, affected individuals, in accordance with Articles 33 and 34 GDPR.
